Who we are
Aani ("Aani", "we", "our", "us") is a privacy‑first content amplification service for creatives, consultants, and voices with something to say. We transform your voice recordings into researched written content while preserving your unique tone and style.

Scope
This policy explains how we collect, use, disclose, secure, and delete personal information when you use Aanihub.com and related services ("Services"). It is designed to meet the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). Where we process data of individuals in the European Union/EEA or the UK, we also outline additional disclosures to help meet GDPR/UK GDPR expectations.
What we collect
- Account & contact information: name, email, company, billing details.
- Audio content & metadata: voice recordings, podcasts, spoken notes; optional show notes; technical metadata (duration, sample rate).
- Derived text: transcripts, summaries, outlines, and researched drafts.
- Usage & device data: basic analytics (pages viewed, referrers, device/browser), IP address (for security and anti‑abuse).
- Support messages: emails, tickets, feedback.
We collect only what is reasonably necessary to provide our Services and aim to minimize collection.
How we use information
- Provide and improve the Service: transcribe, analyze, and transform your audio into drafts and final content; maintain the platform; respond to support requests.
- Voice & style preservation: model your prosody and paralinguistic cues so the writing reflects your authentic voice.
- Research & referencing: generate deeply researched drafts with citations to public web and academic sources.
- Security & compliance: detect abuse and secure our platform; comply with legal obligations.
- Optional updates: send product updates and tips; you can opt out anytime.
We use/disclose personal information only for the primary purpose we collected it (or related purposes you'd reasonably expect).
Processing locations & third parties
- On Aani servers (audio & paralinguistics): We process all audio and paralinguistic analysis on Aani‑controlled infrastructure hosted on Amazon Web Services (AWS).
- Storage: Audio and derived text may be stored in Amazon S3 with strict access controls.
- Text‑only to third‑party APIs: We may use trusted third parties to assist with textual processing (e.g., grammar, summarization, search). We do not send your raw audio to third‑party APIs. Current providers include OpenAI and Google Gemini, which receive only text processed or derived from your audio.
- Cross‑border disclosures: Some providers may be located outside Australia. Where we disclose personal information overseas, we take reasonable steps so the recipient does not breach applicable privacy requirements. If you are in the EU/UK, we rely on appropriate safeguards (e.g., SCCs/IDTA) where required.
Data retention & deletion
- Audio: deleted within 7 days of upload by default (or sooner on request).
- Derived text & drafts: retained to deliver the engagement and for your workspace history; delete on request unless we must keep a record for legal or billing reasons.
- Backups & logs: securely cycled and then deleted on a rolling schedule.
- Your controls: you can request deletion of your data at any time; we will action within a reasonable period unless retention is required by law.
Security
We use layered security controls appropriate to the sensitivity of data we hold, including encryption in transit, strict network isolation for audio processing, role‑based access, logging/monitoring, and least‑privilege practices. We test controls and train staff periodically.
Research integrity & references
Our written outputs include citations to public web pages and academic sources (where applicable). Source retrieval is conducted on text; your audio is never sent externally.
Cookies & analytics
We use strictly necessary cookies for authentication and security. We may use privacy‑respecting analytics to understand site usage and improve the Service. Where required, we will provide a cookie banner and granular controls.
Your privacy rights
- Australia: access and correction rights; contact us to obtain a copy of your personal information or to correct inaccuracies.
- EU/UK (if applicable): rights of access, rectification, erasure, restriction, objection, and portability; we will honor valid requests and legal bases.
Direct marketing
We send product updates or newsletters only with your consent or where otherwise permitted; you can unsubscribe at any time.
Children
Our Services are not directed to children under 16.
Data breaches
If personal information is involved in a breach likely to cause serious harm, we will notify affected individuals and the OAIC in line with Australia's Notifiable Data Breaches (NDB) scheme. Where GDPR applies, we will follow relevant supervisory authority requirements.
